CAS All Senate Meeting Minutes -- Draft VERSION 2

College of Arts and Sciences Senate Executive Committee (SAS SEC) Members in attendance:
Tracy Wiegner (Chair),Mazen Hamad (Secretary),Jean Ippolito, Yoshiko Fukushima, Michael Peterson, Doug Mikkelson,Katie Young, Susan Brown (CAS Chair)

  1. Announcements by Tracy Wiegner:
  2. Agenda item #1: Zach Street (Director of Admissions) will discuss recruitment.
  3. Agenda item #2: CAS reorganization survey.
  4. Zach Street (Director of Admissions) discussed UH Hilo’s recruitment strategy.
  5. Last year, Zach Street became Director of Admissions at UH Hilo.
  6. Admissions is improvingrelationships between the customer (student) and institution by improving trust.
  7. Admissions has implemented a brand revision focused on inspiration:
    inspired by discovery, inspired by each other, inspired by innovation,
    inspired by the ‘aina, inspired by you.
  8. Handouts with the revised branding were passed around. It was noted that inserts could be focused on residents, nonresidents, and Pacific Islanders.
  9. The new campaign integrates well in social media and there have been website improvements.
  10. Admissions has obtained enhanced email capability to allow higher quality emails to be sent out to more students.
  11. A primary goal is to target all of Hawaii island and to bring students from every high school to visit UH Hilo.
  12. Admissions has also traveled to events in CA, OR, WA and AL.
  13. Admissions has some critical needs:
  14. Improvethe on-line application process
  15. Stabilize the admissions team (some employees are 89 day hires)
  16. Form faculty, alumni, admissions recruitment teams
  17. The best way faculty can help is to do the best they can do in their jobs so students will find that the admissions promise is true. Faculty can also generate stories that can be used by admissions. In fact, there is a video contest underway.
  18. Zach finished his presentation by playing a 30 second video.
  19. CAS reorganization survey.
  20. Tracy Wiegner described how the survey was carried out: the CAS Senate Executive Committee came up with several questions regarding the proposed reorganization plan posted on the Chancellor’s blog, Michael Peterson implemented the survey via SurveyMonkey, and the survey was open for 8 days.
  21. A full report and an executive summary were sent out to all CAS faculty and staff, to the Chancellor, Vice Chancellor for Academic Affairs, and to the union representatives. These documents have also been posted to the CAS SEC website.
  22. Tracy noted there were a total of 116 responses and she went over the key quantitative results. She noted that there were clear differences in the responses from the different divisions.
  23. Tracy did not go over the written feedback but noted that this information could be found in the documents.
  24. Tracy opened discussion with the audience by asking the following questions:
  25. Where to go from here?
  26. How can CAS SEC help move the process forward?
  27. A discussion took place regarding these questions.
  28. These minutes will not reproduce the discussion but will list possible actions items that were proposed.
  29. One proposed action item was to gather a petition and submit the petition to the administration.
  30. Another proposed action item was for the CAS SEC to develop questions regarding details of the proposed plan and submit those questions to the administration.
