POSITION DESCRIPTION: ADMINISTRATIVE ASSISTANT TO THE DEAN FOR

ONLINE LEARNING

1.00 GENERAL STATEMENT

1.01 POSITION SCOPE

a.  The Administrative Assistant to the Dean for Online Learning is responsible for clerical duties as they relate to Online Learning, including creating and maintaining records and documents, coordinating office activities, and performing tasks within the learning management system.

b.  The Administrative Assistant to the Dean for Online Learning works as a member of the Online Learning team, which includes the Dean for Online Learning, the Online Learning Coordinators, and the Online Learning Assistant Coordinator.

c.  The Administrative Assistant to the Dean for Online Learning participates in the formation of general college policies as a member of Standing Institutional Committees or through appointment to a task force or consultant group by the President.

2.00 SPECIFIC STATEMENTS

2.01 Position Functions and Category

a. Reporting Relationship: Dean for Online Learning

b. Function/Category of Position: Administrative/Support Staff

c. Length of Contract: 12 month. Evening and weekend work is required.

d. Salary Category: II; hourly.

2.02 Supervision

a.  Supervision Received: The Administrative Assistant reports directly to the Dean for Online Learning.

b. Supervision Exercised: The Administrative Assistant to the Dean for Online Learning may supervise work-study students as assigned.

2.03 Key Areas of Responsibility

Curriculum and Instruction

1.  Track and manage the submission of required documents in the learning management system, including syllabi and grade books.

2.  Assist with updating course shells and Basic Course Shells, as directed.

3.  Input and update the Online Learning course schedule.

4.  Assist with clerical tasks related to proctored midterm and final exams.

Personnel

1.  Perform clerical duties relating to assigned Online Learning personnel, including creating, collecting, and maintaining documents and reports.

2.  Update list serves used to communicate with Online Learning instructors.

3.  Assist in tracking and recording the training of full-time faculty, instructional staff, and adjunct faculty in both the learning management software and effective practices for online instruction.

4.  Assist in preparing and processing personnel correspondence for the Dean.

5.  Coordinate with the Administrative Assistant to the Vice President for Academic Affairs in duties relating to personnel and personnel files.

Platform and Area Management

1.  Assist in providing student and instructor technical support, including responding to BbHelp inquires when assigned and answering phone calls.

2.  Create and maintain user information in the learning management system, including creating user accounts, adding students to courses during add/drop periods, correcting email addresses, reconciling rosters, creating new instructor accounts, and managing online resource centers and orientations.

3.  Complete course management tasks in the learning management system, including removing obsolete course shells, and archiving or restoring course shells.

College-wide Responsibilities

1.  Participate in Standing Institutional Committees and task forces as assigned.

2.  Assist in the management of Online Learning resources, including but not limited to the website, resource centers, and orientations.

3.  Contribute to a positive, professional, and effective work environment.

4.  Perform other duties as assigned by the Dean for Online Learning.
